The Role

The Executive Officer (EO) provides a range of high level executive, secretariat, and project support services to the Chancellor and members of the University Council.  The EO coordinates administrative secretariat support to Council and sub-Committee meetings, including the development and implementation of office management systems, and preparation and storage of agenda, papers, minutes and follow-up items, and provides advice and administrative support to Council members as required.

Your Responsibilities

  • Under limited direction, implement and maintain appropriate systems including document control and procedures to enhance the accuracy, timeliness and presentation of the work of documentation for Council and ensure documentation is kept in accordance with University policy and procedures.
  • Maintain up to date knowledge pertaining to the University and Portfolio activities and current initiatives
  • Work closely with the EA to support seamless, confidential and excellent services to the Chancellor and Council
  • Facilitate a high quality secretariat function supporting Council and its sub-committees, events and governance processes more generally
  • Develop, implement and maintain materials and systems to support the smooth functioning of services, including for office and document management systems, meeting procedures, protocols and manuals
  • Maintain up to date knowledge of University frameworks and good governance benchmarks, research and draft papers
  • Manage and support the schedule of Council membership to ensure appointment and re-appointments are compliant, and administer related processes
  • Support management of the University's statutes and regulations to ensure compliance with internal and external regulation, including ongoing review and managing amendments (TBA)
  • Support management of controlled entity governance business including drafting agendas, preparing minutes, managing membership (including ASIC registrations) and reviewing and developing constitutions and induction materials
