Property Services has approximately 120 staff and has the responsibility to operate, maintain and enhance the buildings owned and leased by RMIT University, oversee construction projects and ensure the provision of physical facilities services

The Role & Your Responsibilities

The Personal Assistant. Property Services Team provides Independent, high quality, flexible and confidential support to the DFAM and Property Services Senior Leadership Team (SLT).

While the position has primary responsibility for supporting a specific deputy Director, the position is also to support the wider Property Services SLT.  Additional responsibilities of this particular role is an active involvement and participation with the RMIT Critical Incident Management Team and associated meetings, planning and resourcing.

Skills & Experience Required

  • Effective interpersonal, written and oral communication skills and strong customer service skills.
  • Demonstrated ability to organise and prioritise work and complete projects/tasks to tight timelines
  • High level computer skills, including spreadsheet, database and word processing programs (Microsoft Office).
  • A sound knowledge of SAP would be an advantage.
  • Demonstrated ability to plan, organise and prioritise work for self and senior management in an environment with multiple and conflicting demands.
  • Extensive experience in providing high-level, confidential secretarial and executive support to a senior manager or equivalent in a large and complex organisation.
  • Demonstrated evidence of a strong customer focus.
  • A high level of initiative and the ability to work with limited direction. The ability to work effectively within a team environment is also critical to this role.
  • Capacity to assess priorities, exercise discretionary judgement and meet deadlines.
  • Ability to draft and format complex written documents and proof read all work.
  • Ability to work under pressure with conflicting priorities paying attention to detail.
  • Well-developed interpersonal, verbal and written communication skills and ability to gain the confidence of others.
  • Ability to maintain confidentiality and handle sensitive matters diplomatically and discreetly.
  • Accurate word processing skills and a broad knowledge of a range of computer packages including Word, Excel and PowerPoint. Experience with TRIM and SAP will be well regarded.
